UPI visits UNAIR to discuss office management and archiving

UNAIR NEWS – To strengthen ties and have a discussion on university management system, Universitas Pendidikan Indonesia (UPI) conducted a comparative study at Universitas Airlangga. The visit held on Thursday, December 6. 2019 Kahuripan Hall 305 UNAIR Management Office became an opportunity for universities to learn from each other and improve.

From UNAIR, Mansyur as Head of Facilities and Infrastructure Sub-Directorate, Yunus Abdul Halim as Head of Administration and Archives, Protocol, Secretariat and Household staffs welcomed five UPI representatives. They were Dr. Liris Raspatiningrum, Head of Legal and Secretariat Bureau, Dra. Nurhasanah, Head of Secretariat Division, Dra. Arciana Damayanti Head of Protocol Subdivision, Sepuddin, Head of Administration Subdivision, and Sopandi, Head of Household Subdivision.

The two institution representatives exchanged information and discussed matters relating to archives, facilities and infrastructure, catering, secretariat, and protocol. Starting the discussion, Mansyur explained the leadership organizational structure at UNAIR from Rector overseeing Vice Rector I to Vice Rector IV, to AGE (Airlangga Global Engagement).

Yunus Abdul Halim explained about the filing system at UNAIR that uses a digital filing system application, e-office application and saga.unair.ac.id (Airlangga Archive System).

“On this SAGA website, all decrees, regulations and laws are accessible. Personal files such as diplomas are also included, “said Yunus.

Regarding the filing system at UNAIR, for the incoming email there is one staff monitoring the email. The emails then directed to the leaders of UNAIR according to each field. It aims to help the work of UNAIR leaderships.

After that, there was an explanation from the Protocol Coordinator, Pulung Siswantara, S.KM., M. Kes. related to protocol tasks such as on arranging major events at UNAIR including inauguration of professors, university anniversary, graduations, and others. The protocol unit works under UNAIR Center for Information and Public Relations.

“While at UPI, the protocol and public relations at UPI are in different room. Alhamdulillah, it can still run well, “said Arciana from UPI.

Arciana hoped that the visit could improve their work flow and the results of the visit will be reported to the leadership. On behalf of UPI, she also expressed her gratitude to UNAIR for sharing information related to the system applied at UNAIR.
